Project Coor­di­na­tor

Full-Time Position

LDWW is looking for a Creative Project Coordinator whose primary responsibilities would include coordinating incoming creative requests in a fast-paced environment and work across internal teams to develop project timelines, set creative expectations and objectives to ensure the team has what they need to produce exceptional creative work in a timely manner. The position is in-person at our Dallas office.

Overview

Under the guidance and supervision of the Creative Project Manager, the Creative Project Coordinator will create and manage project timelines for ongoing and one-off creative projects using LDWW’s project management software. This requires daily project check-ins and working collaboratively with different teams to coordinate deadlines and project needs. The Creative Project Coordinator will support operational efficiencies and opportunities to scale the creative process using project management tools, workflows, resource management and effective communication.

The ideal candidate will be detail-oriented, proactive and have some understanding of creative production workflow. Proactive, collaborative problem solvers who are always willing to learn will succeed in this role.

Responsibilities

  • Review and coordinate creative requests from across the agency, identify creative team need, provide brief reviews & project kick offs, including creating and managing Asana tasks
  • Coordinate day-to-day execution of ongoing creative projects or tasks, from kickoff to completion
  • Proactively monitor project statuses and support collaboration across Creative, Account Service and Digital/Social team members to coordinate deadlines and project assets
  • Create and manage work-back schedules, timelines and streamline workflows for projects and continuously evaluate and improve processes and procedures to increase efficiency and effectiveness.
  • Identify resources needed for projects and work with the creative team on task assignment and milestones for projects, proactively spotting obstacles and unblocking people where needed, and communicate them to team members and cross-functional partners.
  • Participate in project meetings/check-ins with the creative team and brand/marketing team, communicating agendas beforehand, taking detailed notes, disseminating as appropriate, and provide weekly reports on status of projects.
  • Provide first-review of deliverables to ensure asset follows outlined directions, includes all necessary items and is ready for management review
  • Ensure all necessary assets are reviewed, approved, and delivered on-time to all necessary account team members
  • Keep project servers, internal communication tools and resources organized and up to date to support collaboration and foster communication
  • Perform administrative duties for clients and internal team members including taking and distributing meeting notes and saving and organizing project assets

SKILLS AND EXPERTISE

  • Highly organized and detail-oriented
  • Ability to prioritize/multi-task and follow projects through to completion
  • Excellent verbal and written communication skills
  • Adept at navigating various working styles across internal teams (i.e. Slack versus in-person versus email)
  • Comfortable working in and contributing to a collaborative, team environment
  • Ability to identify problems or roadblocks within a project and proactively provide solutions to supervisor and/or team to progress the project forward
  • Ability to work within tight deadlines while holding others accountable
  • Familiarity with project management or organization platforms or tools (bonus if it is Asana)
  • Understanding of creative tools including Adobe Creative Suite, Figma, Google and Microsoft Suites a plus.

Education and Qualifications

  • Background in the creative field, can be self-initiated, work experience or education-based.
  • Preferred but not required: work experience or an internship at a marketing, creative or advertising agency, or work with in-house creative teams
